BULK MAIL SERVICES

Bulk Mail is the term applied to mailings of 200 pieces or more that are sent at a discounted rate. This allows the University and Departments to save a significant amount of money.  Mail Processing can help by preparing your mailing to move faster and more efficiently through the USPS system.

Mailings must meet a number of design and processing elements to qualify for bulk mail rates. To ensure your bulk mailing meets these requirements, contact Mail Processing early in the design stage of your bulk mailing to consult with a certified mail piece design experts.

In accordance with University policy regarding sensitive data, Mail Processing can securely accept your mail list electronically from the Web site.  This is the safest and easiest way to submit your list.

Folding
Folding is available from Mail Processing on automated folding equipment.

Inserting (Envelope Stuffing)
NOTE: Before you submit a request for folding and/or inserting, Mail Processing will be glad to look at sample pages and envelopes to determine if the materials can be processed on automated equipment. Suggestions can also be made for size and shape requirements to keep your mailing costs as low as possible.

Tabbing
Mail Processing provides automated application of tabs to the edges of a folded mail piece to be sent without an envelope (also referred to as a folded self-mailer). The USPS requires certain types of mailings to be tabbed in order to receive discounted rates.  Tabs help secure the piece and prevent damage in the mail stream. 

Mailing List Processing
Mail Processing uses Satori Bulk Mailer 5 addressing software to process mailing lists.  This software is approved by the USPS to standardize and update your address list with the proper format and correct ZIP+4 information.  Software is updated bi-monthly to ensure accurate information.  All lists should be submitted via the secure Web page.

Duplicate Address Check
Software can check your list for duplicate addresses by full name, last name, or complete address.  The use of this feature will save your department money and prevent the potential embarrassment of sending multiple pieces to the same person or location. 

Move-Update
Mail Processing can also check your address list against the USPS database for customer moves in the last 18 months.  It is recommended you run your list through this process at least once every 185 days to keep your mailing list up-to-date.  Remember: Standard and Nonprofit mail will not be forwarded without an endorsement on the piece; if your list is not updated, your mail pieces will not reach the intended recipients.  

Addressing: Direct Ink-Jet Impressions
Mail Processing can print your addresses directly on mail pieces, eliminating the cost and appearance of hand-applied labels.  The direct impression is printed in presorted order and barcoded when possible, which reduces postage cost and helps pieces move through the USPS system faster.  In addition to ink-jetting the address on the piece, equipment can print the return address and permit imprint for postage–all in a single pass. 

Final Mail Preparation
Mail Processing will prepare and deliver your mailing to the USPS according to requirements and complete all necessary documentation.
